If you typically receive emails and/or phone calls with requests to prepare documents this process may be helpful for you.

Benefits include:

  1. Standardizing the format in which information is received.
  2. Populating your document with the information the requester provided with just a few clicks.
  3. Automatically creating a log of the requests being processed by your team over time.

Prepare a database table specifically for proposals

To create or manage a database table visit this help article. Ensure your proposal database table includes a field for each piece of information you’d want to gather from the requester. If you need a few ideas on what to include, here’s an example of the fields being tracked in a sample table.

If you'd like an excel file containing each of the above field names and field types click here to view and download.

Create a new form

Once you install the Forms Application, customize a new form to include all of the fields you’d like to collect from the requester.

Learn how to create a form using this step-by-step guide.

Save a document template

Using either the proposals or slides applications, upload the document template(s) you would like to be populated with the data collected from the form. You can upload any Microsoft Word or PowerPoint files to the applications. A few examples of common document templates include:

  • Proposals
  • Statement of Qualifications
  • Form documents
  • New hire/Employee paperwork
  • Insurance documents

Export Document

As new forms are submitted and approved, a new row/record is created in the database table. Select the record that aligns with the document you would like to export. With the record selected, navigate to the proposals/slides application (depending on where the desired template lives), and click export on the document template. The exported document will contain the custom data points stored in the selected row/record.
